SALARY RANGE: $53,772 - $71,111 (Subject to Review)
HIRING RANGE: $53,772 - $68,631 (Subject to Review)

The Administrative Assistant, Learning Support Services provides comprehensive administrative support to specific areas within the department, including academic programs and services. The role is responsible for coordinating departmental processes, managing documentation and communication flow, supporting budget and financial tracking, organizing meetings and events and ensuring the effective administration of departmental projects and initiatives.

KEY RESPONSIBILITIES:
 
  • Respond to inquiries from both internal and external interest holders as they arise in a timely and efficient manner
  • Process, organize, track and communicate with school and system staff regarding resources, equipment and materials acquisition and distribution.
  •  Monitor and reconcile budget for specific programs and initiatives, track expenditures and prepare financial summaries
  • Maintain and update records and information in accordance with Ministry standards and TVDSB policies and procedures
  • Maintain training manuals and documentation
  • Assist in the preparation of grant applications to support curriculum projects and initiatives
  • Receive and prepare gifts/donations from community interest holders for approval and processing

WORK PERFORMED:
  • Liaise and coordinate information flow between schools, departments, and external organizations to support efficient administrative operations.
  • Assist in the planning and organization of departmental events and activities, ensuring logistical and administrative details are managed effectively.
  • Purchase, maintain and distribute resources, equipment and materials
  • Assist in the preparation and submission of information for the Board, third party interest holders and various ministries
  • Communicate with internal and external clients, and Ministry personnel 
  • Other duties as assigned
Education, Experience and Qualifications:
  • Broad knowledge of administrative processes and organizational protocols within a large public-sector environment. 
  • Demonstrated organizational, prioritization and time management skills 
  • Ability to interpret and apply related Board policies and procedures, Ministry regulations and legislation 
  • Knowledge of budget administration and basic accounting principles.
  • Proficient in computer applications such as Outlook 365, MS Office Suite, etc. 
  • Excellent interpersonal skills with effective communication skills, both orally and in writing
  • Ability to work both independently and as part of a team
  • Completion of one (1) year post-secondary program in Office Administration, Business Administration or equivalent
  • Three (3) years of related work experience is required
