Rate of Pay: $31.133 – $35.317

Position Overview
The Middlesex Hospital Alliance (MHA) is seeking a motivated and detail-oriented Administrative Assistant to support the day-to-day operations of the Administration Office team.
As a valued member, the Administrative Assistant will provide administrative and clerical support to the Executive Assistant, leadership and staff, contributing to the efficient functioning of departmental activities. This role is ideal for an individual who is eager to learn, highly organized, and committed to providing excellent service in a professional healthcare environment.
Key Responsibilities
• Provide administrative and clerical support to the Administration Office and leadership team
• Assist with scheduling meetings, booking rooms, preparing meeting materials including preparing agendas, assembling meeting packages, distributing correspondence, recording minutes, and tracking follow-up items
• Draft, format, and distribute professional correspondence, reports, presentations, and meeting documents
• Respond to telephone, email, and in-person inquiries in a professional and courteous manner
• Maintain and organize electronic and paper filing systems
• Assist with data entry, tracking spreadsheets, and maintaining departmental records
• Support the coordination and distribution of internal communications and correspondence
• Order and maintain office supplies and assist with general office organization
• Operate standard office equipment and support day-to-day office functions
• Perform other duties as assigned
Qualifications & Requirements
- Must provide vaccination records or proof of immunity for measles, mumps, rubella, varicella (chickenpox), and proof of two COVID-19 vaccinations
- Documentation of a Tuberculosis skin test within the past 12 months is required
- College Diploma in Office Administration, Business Administration, or related field preferred;
- Should have minimum 2 years' work-related experience
- Previous board administrative experience considered an asset
- Strong communication and interpersonal skills, with the ability to interact professionally with staff, leadership, patients, families, and external partners
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks and work effectively in a team environment
- Proficiency in Microsoft Office Suite (Office 365, Outlook, Word, Excel, PowerPoint)
- Willingness to learn new systems and processes
- Ability to maintain confidentiality and handle sensitive information with professionalism and discretion
- Positive attitude, dependable work ethic, and commitment to excellent customer service
- Demonstrated reliability and satisfactory attendance record
- Commitment to MHA's mission, vision, and values
- Understanding of proper body mechanics in the workplace
- Must have a valid driver's license and access to a vehicle with flexibility to travel off site, including Four Counties Health Services, as required
